Paid but Not Shipped: Finding Stuck Shopify Orders

Build one saved view of paid orders that are still unfulfilled, then work out why each one is stuck before the customer asks.

Most orders ship without anyone thinking about them. The ones that don’t are easy to miss: an order waiting on one out-of-stock item, a hold nobody released, a parcel that went out but was never marked as shipped. Shopify can show you all of them in one list. You just have to build it once.

1. Filter for paid orders that haven’t shipped

In your Shopify admin, go to Orders and add these filters (Shopify’s filtering guide (opens in a new tab) lists them all):

  • Payment status: Paid, Partially refunded. The customer has been charged. Partially refunded catches orders where you refunded one item but still owe the rest.
  • Fulfillment status: Unfulfilled, Partially fulfilled, On hold. Several values in one filter count as “any of these”, so one view catches all three.
  • Date: Custom. End the range two days ago, or whatever you promise customers, so today’s orders don’t clutter the list.

Click Save and name the view something like “Paid, not shipped”. A saved view keeps its filters, so you can open it each morning. The custom date range is fixed though, so move its end date forward when you check. Anything in this view is an order the customer has paid for and is still waiting on.

2. Work out why each order is stuck

Open the oldest order first. The fulfillment status and the order timeline usually tell you which of these it is. Shopify’s order status guide (opens in a new tab) explains each status.

  • It’s on hold. You, an app or a sales channel paused fulfillment. The hold reason shows in the On hold section of the order. Pre-order apps often hold orders until a delivery date is known. When the problem is fixed, click Release hold. If an app placed the hold, check with the app first. Shopify’s holds guide (opens in a new tab) covers both.
  • It’s waiting on stock. One item sold that you don’t have. Check the product’s inventory. A negative number is a strong sign. Our negative inventory guide helps you correct it, and our reorder guide helps you get enough in next time.
  • It’s assigned to the wrong location. The order is set to ship from a location that doesn’t have the item. Use the menu in the Unfulfilled section and click Change location to move it to one that does.
  • It shipped, but nobody marked it. This happens when the label was bought outside Shopify. Click Mark as fulfilled, add the tracking number, and choose whether to notify the customer. If the order is already fulfilled but the tracking is missing, see our tracking guide.
  • Part of it shipped and the rest was forgotten. A Partially fulfilled order still has an Unfulfilled section with the remaining items. Ship them, or if they’re not coming, tell the customer and refund those items.
  • A fulfillment app or warehouse didn’t pick it up. If someone else ships for you, check the app or ask the warehouse. The Fulfillment status filter also has a Request declined value for orders a service turned down.

3. Check the orders that aren’t paid yet

If you capture payments manually, some orders sit as Authorized. They won’t show in the Paid view, but the customer still expects them. An authorization runs out, and Shopify shows an Expiring badge two days before the deadline. Make a second saved view with Payment status: Authorized and check it at the same time, so no payment lapses while the order waits.

Get the list without building it

A saved view works if you remember to open it. It also doesn’t tell you why an order is stuck, so you still open each one.

Efficiencia’s Today screen does that check for you. Its Orders that need you section flags paid orders that are still unfulfilled after 48 hours and orders that have sat partially fulfilled for 48 hours. You can change both times in its settings. Each item shows the order, how long it has waited and a link straight to it in Shopify. Negative stock and shipped orders without tracking appear there too. When you fulfil the order in Shopify, the item clears by itself. Efficiencia doesn’t change your orders.
