Know what to order from each supplier, and why

Reorder works out how much to buy from each supplier using your recent sales, the weeks of stock you keep and how long the supplier takes — rounded to the pack sizes and minimums you buy in. Then it hands you the order.

Why 24? · Linen throw, black

You sold 42 in the last 60 days (0.7 a day). Northwind Textiles takes 7 days to deliver and you keep 4 weeks of stock (your store defaults), so the target is 25. You have 6 in stock + 0 on order = 6, so order 24 (rounded up to 4 packs of 6).

Before and after

  • Before

    • Export inventory and sales from Shopify into a spreadsheet.
    • Guess how much to keep, and how long each supplier takes.
    • Look up each supplier’s case size and minimum order, and round every quantity up.
    • Forget what is already on order, and order it twice.
    • Retype the list into an email or a purchase order for each supplier.
  • After

    1. Suppliers come from your Shopify vendors, so there is nothing to type in first.
    2. Efficiencia reads the last 60 days of sales for every product. Days a product was sold out are left out of its rate, so a product that keeps selling out is not under-ordered.
    3. Each supplier shows the products to reorder now, grouped on one screen.
    4. Press Why on any row to read, in one sentence, how the quantity was worked out.
    5. Review the order for a supplier, change what you like, and send it as a PDF, an email, or a file for a Shopify purchase order.

How a number is worked out

Every suggestion uses the same short calculation, and the sentence under each row shows it with your own numbers.

  • Target: units sold per day, times the supplier’s lead time plus the weeks of stock you keep. Out of the box that is 7 days and 4 weeks; you can change both for the whole store or for one supplier.

  • Stock: what you have at the Shopify locations that count, plus stock already on order.

  • Order: the target minus that stock, raised to the supplier’s minimum order and rounded up to whole packs.

  • Products that sold fewer than 3 units in the window are not suggested, unless you set a fixed target for them.

Stock already on order counts

A reorder list that forgets open orders asks you to buy the same stock again.

  • Incoming stock that Shopify reports for a product counts as on order.

  • So does an order you marked as ordered in Efficiencia, until Shopify reports the stock as incoming or the supplier’s lead time plus a week has passed.

  • The sentence under each row names it: “6 in stock + 24 on order (ordered 12 Oct) = 30”.

Send the order

Each supplier has a Review order screen with the suggested lines. Change a quantity, remove a line or add another of the supplier’s products, then send it.

  • PDF: open the print window and save it as a PDF to attach or print.

  • Email: a draft opens in your own mail app, addressed to the supplier’s order email if you saved one. Efficiencia does not send email to your supplier.

  • Shopify purchase order: download a CSV in the format Shopify’s purchase order import takes, then create the purchase order in Shopify Admin.

  • Mark the order as ordered, so the next suggestions count it as stock on order.

Where it fits

Efficiencia goes from your suppliers to the order you send, then keeps an eye on what runs out. This is the reorder step, and it uses the same suppliers and products as the others.

  1. Suppliers

Created from your Shopify vendors, with your pack sizes and minimums.

  2. Reorder

What to order from each supplier, why, and the order ready to send.

  3. Stay on top

What is running out and which orders are stuck, every morning.
