Shopify Refund Requests: What to Check Before You Refund

Work out what the customer needs, check prior refunds and returns, and confirm the payment result before replying.

“One of the shirts arrived damaged. Can you refund it?” sounds clear until you open the order. Were there two of the same shirt? Does the customer want to keep the damaged one? Has someone already issued a partial refund? Those details decide what amount to send and whether you need a return first.

Work out which problem you are solving

Find the order and read the payment history before promising an amount. A customer asking to stop an unshipped order may need a cancellation. One asking to send a delivered item back needs a return decision. Someone asking where an earlier refund went needs a payment status check, not a second refund.

For a partial refund, pin down the item, quantity, and amount. Check whether shipping is included and how much has already been refunded. It helps to write the calculation down before opening the refund form, especially when the customer bought several identical items or paid with more than one method.

Decide about the product before moving the money

If the customer is returning an item, decide whether you need to receive and inspect it before refunding. Shopify lets you refund without creating a return, but says you cannot create a return for those items after they have been refunded. Its return and exchange instructions (opens in a new tab) explain the sequence when the goods need to come back.

Restocking is a separate decision. Do not return a damaged item, or one the customer is keeping, to sellable inventory just because you issued a refund. If you are waiting to inspect a return, leave that decision until you know its condition.

Review the refund and confirm it

In the Shopify order, select the affected items or quantities and review the proposed amount. Shipping is handled separately, so include it only when you intend to refund it. Check the destination for the money, the restock setting, and the customer notification before submitting. Shopify’s refund instructions (opens in a new tab) show the current options for full and partial refunds.

A refund cannot be reversed once initiated in Shopify Admin. After submitting, inspect the order’s payment details or timeline and confirm the amount and status. If the transaction failed or is still pending, do not describe it as completed.

Example reply
“I’ve refunded the damaged shirt to your original payment method. You can keep the item; there’s no return to arrange. Your bank may take some time to show the refund.”

Change that reply to match the actual result. If you need the item returned first, tell the customer how to do that and when the refund will be considered. If you refunded only part of the order, state which item or charge was covered.

How long does a Shopify refund take?

It depends on how the customer paid. For card payments through Shopify Payments, Shopify’s refund troubleshooting guide (opens in a new tab) says the refund can show as Pending for up to 2 business days, and the customer may wait up to 10 business days for the money, depending on their bank. Once Shopify has processed the refund, the bank decides when it appears on the statement.

Other payment providers, such as PayPal, set their own timeframes, so check with the provider before quoting a number. A refund goes back to the original payment method, unless you choose to refund to store credit instead.

Two things can hold a refund up on your side. A Shopify Payments refund stays pending while your balance is negative past Shopify’s threshold, and goes through once that is cleared. A refund can also fail if the original payment is too old for the provider to refund. Check the order timeline so you tell the customer what actually happened.

Example reply
“Your refund of $24.00 went through today. Card refunds can take up to 10 business days to show up, depending on your bank. If it hasn’t arrived by then, reply here and I’ll look into it and send you the details your bank needs to trace it.”

If the customer says the refund has not arrived

Check the existing refund in the order timeline before taking another action. A processed refund can take longer to appear at the customer’s bank. Shopify’s refund troubleshooting guide (opens in a new tab) explains what to check for pending or failed refunds. For eligible Shopify Payments card refunds, an Acquirer Reference Number may appear in the timeline and help the bank trace the payment.

If the original request was to stop an order that has not shipped, see our cancellation request guide. That decision includes what happens to the order as well as what happens to the money.
